Taking a Venue from Blank to Inspired (With Some Assembly Required)
With a bit of bravery, a lot of creativity, and even more preparation, transforming an event space can be epically rewarding.
Ready for the ultimate before and after arc? We’re entering our epic venue transformation era. Picture this: a vast, echoing concrete arena with 1,000,000 total square feet of raw potential. Now, imagine that same space as an intimate venue that fosters connection, inspires conversation, and makes attendees feel as if everyone’s in the same room. Sound like the stuff of legends? Good, because we’re about to help you become one.
1. A Love Letter to Creative Freedom
When a client chooses a blank venue, it can be a little intimidating. However, starting with a clean space maximizes creativity. While you may be used to shoehorning your vision to fit reality, in this scenario, you can really spread your wings. Every detail, from lighting to flooring, is your playground.
Without all the bells and whistles, a building’s soul takes center stage: its history, its bones, its stories. Honoring those narratives and weaving them into your event is epically rewarding. Finding the décor, theme, and flow that fit, feel cohesive, and authentic is the “P.S. I love you” sign-off to any venue transformation.
2. Checking the Boxes: Restrictions, Execution, and Evolution
But, before you can dream big, you need to sweat the small stuff. You need to ensure the venue (and your budget) can accommodate all of your event artistry. So, when offering a space that needs a full build-out, start by asking questions, like:
- What are we allowed to do in the space?
- What limitations do we need to work within?
- Can we bring in everything we need to execute the vision? Power, lighting, décor, staging?
- What is the load-in, load-out situation?
- How will guests flow through the space?
Our industry’s worst-kept secret: The most creative event professionals are actually logistics nerds in disguise. Now is the time to let your type-A flag fly and verify the venue can make your dreams a reality without practical and financial constraints getting in the way.
3. It’s About Direction, Not Decoration
Great event flow is almost invisible; guests only notice it when something feels off. Turning an empty venue into a series of cohesive moments starts with the basics. First, consider the drive time, because how easy a venue is to get to sets the stage for what’s to come. With a blank space, it’s crucial to determine how guests will move through the event so everything from arrival to entertainment feels smooth and intentional.
Speaking of intention, not just any theme will do for any venue, even the empty ones. Don’t think of a theme as your event’s be-all and end-all; instead, it’s the filter that colors your attendees’ experience.
4. The Balancing Act: Fun vs Fundamentals
Harmonizing creativity with practicality is an art form. Before any build-out can begin, you need to make sure your basics are covered. “The practical side can kill my dreams sometimes” is a direct quote from our team, but we own it because we’ve all been there! It’s better to let your ideas die honorably on paper before load-in crushes them in reality.
Start with the non-negotiables: power, flooring, kitchen setups, load-in access, and safety requirements. If those basics aren’t doable or don’t fit within the budget, it changes the conversation. By keeping an open, efficient dialogue with the venue staff and any on-site partners from the beginning, everything goes much more smoothly. If the choice is between innovative lighting or an accessible fire exit, the answer is pretty obvious (no matter how pretty the AV can be).
5. Let’s Touch On Immersing the Senses
What can you do to help your attendees avoid feeling lost in the space? The alchemy of immersion starts with engaging the fundamental elements of the human experience.
- Sight: Lighting is one of the most important tools. It can instantly warm things up and whisper, “Go ahead, stay a while.”
- Hearing: Sound design also matters because the right music or audio setup helps prevent the venue from feeling echoey, hollow, or overwhelming.
- Touch: Design elements such as florals, furniture, linens, and décor accents add texture and personality, making the venue feel more inviting.
- Energy: Entertainment fuels excitement, and creating shared moments helps people feel connected.
Lastly, a thoughtful layout is key. Be sure to break up the space so guests feel guided, not adrift.
6. Step Aside, Step and Repeat
How do you weave the client’s brand or purpose into a space that starts as a literal blank slate? First, focus on understanding the overall message or purpose of your event. What do you want guests to feel or take away? Layout is important because how guests move through a space can reinforce the story you’re trying to tell. Find natural ways to incorporate brand elements into the design through color, texture, creative signage, branded photo opportunities, and key décor moments. Lighting and AV are great tools for highlighting corporate colors or drawing attention to important elements. When it comes to event branding, subtlety is the new shouting. The goal is always to make the company feel present in an intentional and authentic way, without overpowering the experience or the setting.
7. A Colossal Coliseum Transformation
Okay, we know you’re after the before-and-after! Without further ado, here’s how our team recently reimagined the Los Angeles Memorial Coliseum with heroic results.
Glow Up from the Ground Up
We started with a blank slate and had to architect the entire event. Our team brought in all lighting and AV, plus all design and comfort elements (tables, chairs, linens, dinnerware, centerpieces, bars, lounge furniture, heat lamps), as well as the entertainment. The on-site caterer handled all food and staffing, and the venue provided the stage we used for the music, the fireside chat, and the speeches. But that was really the only support we had for this full-scale transformation. We didn’t just bring in furniture; we curated intimacy in a space designed for spectacle.
Making Nothing Feel Like Everything
We just want to give our Cohera team a little pat on the back. None of this would have come together without our incredible, on-the-ground team. They handled every detail and challenge with skill and collaboration. What started as a historic venue with room to imagine ended up feeling completely tailored to the client’s vision. 8. The Three Commandments (Plus the Fine Print)
If we were to distill our venue transformation advice into three bullet points, they would be:
- Know your logistics like your life depends on it, because your success does. Power, load-in, layout, vendor access… these details will shape everything you can (and can’t) do.
- Let the space talk back. Stay flexible and let the space guide some of your creative decisions; blank venues can ignite amazing ideas if you stay open to them.
- Communicate early and often with venue staff and your vendors so everyone has the information they need to pull off a fantastic build-out.
Now, here’s the fine print:
- Budget-wise, plan for some extra wiggle room. A good benchmark is up to 1.5 times what you think you’ll need, knowing you can always scale and shift line items so your spend stays focused on what guests will actually remember.
- Doing everything takes longer. Double your load-in and load-out estimates, then add a buffer.
- Make sure you have a strong team and enough hands on deck; the scale of these events can easily get overwhelming and could put you behind.
- Lean on your vendors and partners; they’ve done this before and can help you anticipate things you might not see coming.
